We are seeking a highly organized, proactive, and relationship-driven Executive Assistant / Office Manager to support our Managing Partners and ensure operational excellence across the firm.

What You’ll Do

As the Executive Assistant / Office Manager, you will play a key role in ensuring the firm operates smoothly and efficiently. Reporting to the COO, you will support the Managing Partners and oversee administrative and office functions, including:

Executive & Administrative Support

  • Provide direct, high-touch support to the Founder and Managing Partners; assist CEO, COO, and President as needed.
  • Manage complex calendars, schedule and confirm meetings, handle incoming calls, and maintain organized systems and files.
  • Draft and prepare professional emails, letters, documents, and reports for senior leadership.

Office Operations

  • Serve as the first point of contact for visitors and coordinate on-site meetings.
  • Manage mail, packages, and shipping logistics.
  • Oversee office and kitchen supplies, ordering and restocking as needed.
  • Prepare meeting materials, set up rooms, and coordinate lunch orders or refreshments.

Accounting & Administrative Processes

  • Prepare accounts receivable invoices and support accounts payable and receivable processes.
  • Make deposits, categorize corporate card expenses, write checks as needed, and prepare expense reports for Managing Partners.

Technology & Systems Support

  • Manage email inbox organization and archiving for leadership.
  • Assist with basic technology troubleshooting (computer, iPhone, software issues).
  • Maintain and update the firm’s contact database (CRM).

People Operations

  • Coordinate onboarding for new employees, including enrollment tasks and systems orientation.
  • Support internal process improvements and administrative initiatives.

Who You Are

We are looking for a candidate who is:

  • Experienced, with 10+ years as an Administrative or Executive Assistant.
  • Exceptionally organized with strong attention to detail and follow-through.
  • Able to manage multiple priorities independently under tight deadlines.
  • Skilled in communication, both written and verbal, with a polished executive presence.
  • Comfortable working closely with senior leadership and interacting with varied personalities.
  • Proficient in Microsoft Outlook, Word, Excel, PowerPoint, CRMs, phone systems, and other productivity software.
  • Able to synthesize information and prepare clear, accurate reports for management.
  • Professional, reliable, and proactive—someone who anticipates needs rather than reacts to them.

Education: Associate’s degree preferred; equivalent experience considered.

Physical Requirements: Ability to work at a desk for extended periods. Ability to navigate the office building when hosting visitors or managing operations.
